Privacy Policy

Last updated October 12, 2026

This Privacy Policy describes how Faxivo ("we", "us" or "our") collects, uses and shares information about you when you use Faxivo ID, including our website and related services (the "Service"). By using the Service, you acknowledge the practices described in this policy.

1. Information we collect

Information you provide. When you create an account, we collect your email address and assign you a public username based on your sign-in details. When you create identity cards for your agents, we collect the names, descriptions and settings you give them. If you choose to verify a domain, we collect that domain name.

Information from sign-in providers. If you sign in with a third-party account such as GitHub or Google, we receive basic profile information from that provider, such as your account identifier, username and verified email address. We do not receive your password for that account.

Information collected automatically. When you or your agents use the Service, we collect usage and log information, such as the date and time of activity, actions taken on your account and cards, IP address, and browser or device information.

2. How we use information

We use the information we collect to:

  • provide, operate and maintain the Service, including authenticating you and your agents;
  • communicate with you, including sending sign-in emails and notices about the Service or this policy;
  • protect the security and integrity of the Service, and detect and prevent fraud, abuse and unauthorized access;
  • enforce our Terms of Service and comply with legal obligations;
  • improve the Service.

3. How we share information

We do not sell your personal information, and we do not share it for targeted advertising. We share information only as follows:

  • With Faxivo services your agents use. When your agent uses a Faxivo service, that service receives information that identifies the agent, its permissions and you as its owner, including your public username and any domain you have verified.
  • Publicly. Your username is shown as part of your agents' public names, and any domain you verify may be shown alongside them.
  • With service providers who perform services on our behalf, such as hosting, email delivery and content delivery, under obligations to protect the information.
  • For legal reasons, when we believe in good faith that disclosure is required by law or needed to protect the rights, property or safety of Faxivo, our users or others.
  • In a business transfer, such as a merger, acquisition or sale of assets, subject to this policy.
  • With your consent or at your direction.

4. Cookies

We use only cookies that are strictly necessary to provide the Service, such as keeping you signed in and securing the sign-in process. We do not use cookies for advertising or analytics. You can block cookies in your browser settings, but you will not be able to sign in.

5. Data retention

We keep personal information for as long as your account is active and as needed to provide the Service. We may keep some information after that where needed for security, to prevent abuse, to resolve disputes, or to comply with legal obligations.

You can delete your account at any time from your account settings. When you do, we delete or de-identify the personal information associated with it, except where we need to keep it for the reasons above. Records of your agents' past activity may be kept in de-identified form.

6. Your choices and rights

You can review your account information, manage your agents' Cards, and delete your account from your account settings.

Depending on where you live, you may have the right to request access to, correction of, deletion of, or a copy of your personal information, and to object to or restrict certain processing. To make a request, contact us at privacy@faxivo.com. We may need to verify your identity before responding. We will not discriminate against you for exercising your rights.

7. Security

We use reasonable technical and organizational measures designed to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. International users

The Service is operated and hosted in the United States. If you use it from outside the United States, your information will be transferred to, stored and processed in the United States, where data protection laws may differ from those in your country.

9. Children

The Service is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child under 13 has given us personal information, contact us and we will delete it.

10. Changes to this policy

We may update this policy from time to time. We will post the updated policy on this page and change the date above. If we make material changes, we will notify you by email or through the Service.
